Register for a conference ticket
The timetable and registration fees are below. Registration includes lunch and refreshments throughout the day.
HDR UK is a registered charity, and we will not make a profit on this event. Registration fees are subsidised by the Institute.
We are offering 30 bursaries for early-career researchers and public & patient attendees who would not otherwise be able to attend the conference. View the Bursaries page for more information.

The non-early bird general ticket will be available from the 12 July 2025 for anyone to purchase. The main conference ticket includes access to all two-day presentations, drinks reception, lunch and refreshments.

Sponsors and exhibitors will receive a code to register for three tickets, these are for the exhibition hall only and not the main conference. These tickets will include a drinks reception, lunch and refreshments.

Early-career researchers are those within the first eight (full-time equivalent) years of their career (including post-graduate training, if relevant). We will take a flexible and inclusive approach to this calculation, taking into consideration career breaks, non-linear career paths, non-academic career paths, etc. The conference ticket includes access to all two-day presentations, a drinks reception, lunch and refreshments.

HDR UK’s work is guided by patients and the public, who are welcome at our conference. This is a research conference; however, we are encouraging speakers to make their talks accessible to all those with an interest. This creates an accessible and inclusive environment where health data research can be shaped and influenced by the public.

This ticket type is exclusively for presenters whose abstracts are accepted for presentation at the conference. Notifications will be sent by June, and presenters must register by Friday 11 July 2025. If there are delays, the presenter registration deadline will be adjusted accordingly.
A presenter ticket includes access to the conference, drinks reception, lunch and refreshments.

Our conference dinner takes place on the first night of the event (Wednesday 15 October). It is a great opportunity to gather at the end of an insightful and fruitful day at the conference and socialise with new colleagues over a three-course meal with drinks. The dinner will take place in the SEC venue.

Cancellation policy
Refunds will be issued to attendees wishing to cancel their registration with the following conditions:
- Up to six weeks before the conference (3 September 2025,11.59 BST), 100% refunds will be issued.
- From 3 September to 17 September, 50% refunds will be issued.
- No refunds will be issued less than one month before the conference (17 September, 11.59 BST) for in-person attendees and less than two weeks before the conference (1 October, 11.59 BST) for online attendees.
If the event is cancelled, a full refund will be provided.
Transferring registration:
You may transfer your registration to another individual from the same institution up to six weeks before the conference start date. All registration details must be provided when requesting a transfer. Please email our events team for assistance.
Emergency cancellations:
We may consider extenuating circumstances that may warrant exceptions to this policy.
